DRAFT Minutes of the BVHOA Board Meeting on July 24, 2018

 

 

MEETING LOCATION/TIME: 

  •  Warren Knapp’s home at 29 Bristol View Drive

 

IN ATTENDANCE:

   Warren Knapp (President)

                           Al Brault (VP Architecture)

                            John Haefner (VP Landscaping)

                            June Glaser (Treasurer)

                            Lynn Marino (Secretary)

                            Lisa Beardsley (Property Manager)

                            

GUESTS:

CALL TO ORDER:

  • Made by Warren Knapp at 12:15PM

 

NEW HOMEOWNERS:

  • The O’Briens have become residents at 6 Spruce Ridge.  They will get an updated packet and the Association will solicit their phone number and email.

 

SECRETARY’S REPORT:

  • A motion was made by Al Brault to approve the minutes of the June 31, 2018 meeting.
  • The motion was unanimously carried.

 

TREASURER’S REPORT:

  • Pre-audited financials through June 30, 2018 were reviewed.
  • As of June 30th, no reserve funds have been used.
  • Seal coat bill is pending.
  • A motion to approve the financial report was made by June Glaser and seconded by Lynn Marino
  • The motion was unanimously carried.

 

PRESIDENT’S REPORT:

  •  A question was asked and answered concerning the resolution of a specific erosion.  The Town will deal with the issue.
  • A discussion was begun concerning the use of the Exterior Improvement Agreement.

             Residents must ALL be aware of doing the EIA

Many have completed their project and then sent the EIA after the fact.

  • The poison ivy is in the process of being resolved.
  • The Annual Meeting will be scheduled.

 

 

 

ARCHITECTURE VP’S REPORT:

  • Al has identified outside painting that needs to be done and that painting has been contracted.
  • A patio issue has been resolved.
  • The town will repair a sunken box in the center of a driveway.

 

LANDSCAPE VP’S REPORT

  • Concern has been raised about the quality of some of the grading/leveling and seeding.
  • John will wait to communicate with Chris regarding leveling/reseeding issues until some of the other issues have been resolved.
  • The berms between 33/37 and 37/39 will be examined for action.  One possibility would be to grade them out and open up the access to the back yards.  Lisa will follow up on this.

 

PROPERTY MANAGER’S REPORT:

  • Contact has been made with those residents who will be having driveways resealed.
  • Drainage erosion near a retaining wall is being examined.  It could possibly be due to the need to clear the gutters.
  • The question was discussed as to who is responsible for any damage, in this case.
  • The Board gave approval to use a camera to determine of there is a clog.
  • Dates were discussed for the Annual Meeting.

 

OLD BUSINESS:

  • Grading and drainage diagnosis and repairs remains on-going.

 

NEW BUSINESS:

  • Discussion was begun concerning a job description for the Architectural VP.

  • August 23, 2018 at 11:00AM
