DRAFT Minutes of the BVHOA Board Meeting on August 23, 2018

 

MEETING LOCATION/TIME: 

  •  Lynn Marino’s home at 36 Bristol View Drive

 

IN ATTENDANCE:

   Warren Knapp (President)

                           Al Brault (VP Architecture)

                            John Haefner (VP Landscaping)

                            June Glaser (Treasurer)

CALL TO ORDER:

  • Made by Warren Knapp at 11:15PM

 

NEW HOMEOWNERS:

  • No new homeowners have moved in.

 

SECRETARY’S REPORT:

  • A motion was made by June Glaser and seconded by Al Brault to approve the minutes of the July 24, 2018 meeting.
  • The motion was unanimously carried.

 

TREASURER’S REPORT:

  • Pre-audited financials were reviewed.
  • Review of Accounts Receivable
  • Under “Taxes”, “Woodcliff Easement” should read “Woodcliff Terrace Easement”.
  • A motion to approve the financial report was made by June Glaser and seconded by John Haefner.
  • The motion was unanimously carried.

 

PRESIDENT’S REPORT:

  • A huge thank-you to all the members of the committee for organizing another successful Annual Picnic! 
  • Many of the mailboxes are showing the need to be painted.
  • EIPs that involve significant changes (ie: deck/patio changes) or extensions (ie: the presence of a dumpster) should be shared with the Board so that all are aware of what is happening.

 

 

 

 

 

ARCHITECTURE VP’S REPORT:

  • A single painter agreed to do all of the outside louvers on the four houses that needed to be repainted.
  • The concern about poison ivy is a specific area has been resolved.
  • The large area containing the Poison Ivy will need to be checked next spring.
  • The policy concerning the use of dumpsters will be clarified to note 7 days.  Any longer will require a variance.
  • The use of a “dump trailer” will be explored once a dumpster has been removed.

 

LANDSCAPE VP’S REPORT

  • Many projects have been delayed by the weather.
  • In the fall, trees need to be examined for pruning (after the leaves fall).
  • There are 15 Crabapple trees to note in particular, some of which need heavy pruning.
  • An independent contractor should be brought in for the planting of new deciduous trees.
  • All landscape contracts should be reviewed for clarity and specification of responsibilities/duties.
  • Ideas were brainstormed about ways to notify residents about new plantings, need for watering, etc.

 

PROPERTY MANAGER’S REPORT:

  • Seal coating problems are ongoing as are the repairs of said problems.
  • The Annual Meeting will be on September 24th.
  • A reminder that the ONLY signs allowed in the neighborhood are those put out during an Open House.

 

OLD BUSINESS:

  • In the future, this section will be referred to as “OPEN ACTION”.

 

NEW BUSINESS:

  • Annual meeting set for September 24, 2018.
  • Expiring terms are Al Brault and John Haefner.
  • June Glaser will act as Nominating Committee Chairperson.

 

NEXT MEETING:

  • September 24, 2018 at 6:45 (sign-in).
